Understanding Roles and Permissions
In Payouts.com, each user is assigned one or more roles. These roles define what the user can access and do within the platform.
Key Roles
OWNER:
Permissions: Has full access across the platform. This includes viewing and creating transfers, managing balances, viewing and performing conversions, accessing connector dashboards, managing e-wallets/global accounts, approving and editing invoices, viewing invoice dashboards, approving payouts, viewing payout dashboards, viewing and creating connectors, full vendor management (viewing, editing, inviting, managing), managing budgets, managing bank accounts, viewing transactions, inviting and managing users, managing account settings, accessing the developer section, and creating new connected accounts.
BANKING_ADMIN:
Permissions: Focuses on core banking functions. Can view and create transfers, view balances, view and perform conversions, manage e-wallets/global accounts, view bank accounts, and view transactions. Does not have access to invoices, payouts, connectors, vendors, budgets, user management, or developer tools.
BANKING_VIEWER:
Permissions: Read-only access to banking information. Can view transfers, balances, conversions, e-wallets/global accounts, bank accounts, and transactions. Cannot perform any write actions (create transfers, conversions, manage accounts).
TRANSFER_MANAGER:
Permissions: Manages fund transfers. Can view and create transfers, view e-wallets/global accounts, and view transactions. Does not manage balances, conversions, or other areas.
CONVERSION_MANAGER:
Permissions: Manages currency conversions. Can view and perform conversions and view transactions. Does not manage transfers, balances, or other areas.
GLOBAL_ACCOUNT_MANAGER:
Permissions: Manages global bank accounts. Can view and manage (create/close) global accounts and view transactions.
CONNECTORS_ADMIN:
Permissions: Manages connectors. Can view the connectors dashboard, view pending invoices (for context), view and create/edit connectors (including settings like payment terms).
CONNECTORS_VIEWER:
Permissions: Read-only access to connectors. Can view the connectors dashboard and view connector settings.
INVOICES_APPROVER:
Permissions: Approves invoices and manages related budgets. Can approve invoices, view the invoices dashboard, view connectors (likely for context), and view/manage budgets. Cannot edit invoices.
INVOICES_EDITOR:
Permissions: Edits invoices and manages related budgets. Can edit invoices, view the invoices dashboard, view connectors (likely for context), and view/manage budgets. Cannot approve invoices.
INVOICES_VIEWER:
Permissions: Read-only access to invoices and budgets. Can view the invoices dashboard, view connectors, and view budgets. Cannot edit or approve invoices or manage budgets.
PAYOUTS_APPROVER:
Permissions: Approves payouts and manages related budgets. Can approve payouts, view the payouts dashboard, and view/manage budgets.
PAYOUTS_VIEWER:
Permissions: Read-only access to payouts and budgets. Can view the payouts dashboard and view budgets. Cannot approve payouts or manage budgets.
VENDORS_SUPER_ADMIN:
Permissions: Full vendor management capabilities. Can view connectors, access the VRM (Vendor Relationship Management) dashboard, view and edit vendor card details, invite vendors (single/bulk), and manage vendors (add/edit/delete, approve TAX/Payment Methods, change connector settings).
VENDORS_ADMIN:
Permissions: Manages existing vendors and invites new ones. Can view connectors, access the VRM dashboard, view and edit vendor card details, and invite vendors. Cannot perform the highest-level vendor management actions (delete, approve TAX/Payment Methods, change connector settings) that the Super Admin can.
VENDORS_VIEWER:
Permissions: Read-only access to vendor information. Can view connectors, access the VRM dashboard, and view vendor card details. Cannot edit, invite, or manage vendors.
SYSTEM_ADMIN:
Permissions: Manages users and account settings. Can invite colleagues, manage users (edit roles, disconnect), manage account preferences, and create new connected accounts. Does not typically manage financial operations directly.
DEVELOPER:
Permissions: Access to developer tools and settings. Can access and manage the Developer Section.
Steps to Manage User Roles and Permissions
Access User Management:
Navigate to Account Settings (or Settings -> User Management).
This section is usually accessible by the Owner
Invite a New Team Member:
Click on "Invite New User."
Enter the first name, last name, and email address of the new team member.
Click the Set Role & Invite button.
Important Note: You can't grant yourself, the person completing the action, financial roles (Financial Executor, Transaction Authorizer).
Assign Roles and Permissions to New Members:
A page will pop up the "Roles and Permissions window"
Under the "Role Management" section are the different roles
The "Business Owner" can edit the Business information and view the marketing dashboards.
The "Financial Operations" can manage payment details, create new and authorize new payouts.
The "Permissions" option shows the exact capabilities this role grants.
After selecting the roles and permissions, “Invite”.
An email invitation will be sent to the user to onboard in the system.
Edit Existing User Roles
1. Follow the steps from 3.
Remember to select all required roles according to this documentation.
Activate / Deactivate User:
1. Activate or Deactivate User, if that is the next role.
Follow the steps from 3-4, review the popup information and confirm.
The user's can't be deleted. They can just be removed from the roles.
Save the changes.
Verify the new role permissions for the new or updated user.
